What Information We Collect and Why in Order to Provide Food

1st: Why We Collect Information

There are two reasons we need to collect information.  The first has to do with the fact that the South Hall Community Food Pantry is a 501(c)3 non-profit organization.  The second is because, as a non-profit, we apply for grants to help us help you.

Non-Profit Reporting

We have to file reports each month showing how many people we helped, how much food we distributed, and how much money we collected in donations.  Your information is part of that reporting.  However, we don’t actually report anything about your or your family specifically.  Our reporting does include how may senior adults we served and how many children in various age groups.  Having a record of birthdates for you and your family members enables us to come up with a number.  We never share your specific information with anyone outside of the Atlanta Community Food Bank community (other helping organizations within our network who only access this information if you approach them for assistance in the future.)

Applying for Grants

We apply for grants from many organizations.  Some may want to know how may senior adults we serve.  Others may want to know how many school-aged children.  By having birthdates of family members on file, we can quickly come up with these numbers when applying for grants (funding) from organizations interested in helping support us.  The South Hall Community Food Pantry never shares your specific personal information with anyone.  Pieces of your information (ages, for example) are only used to compile general information that can be used for reporting and for applying for grants.

2nd: What info we need from you

  • We need to see some form of government identification to prove that you are who you say you are.  This can be in the form of a driver’s license or a passport.
  • We need your current address, even if it’s different from what’s on your ID.
  • We need the names (or nicknames) and birthdates of everyone for whom you’re collecting food.  If, for privacy sake, you’d rather give us a nickname and an age, we can use those.  (We’ll give your family member a birthdate of Jan 1st in whatever year they were born.)  Again, our need is to have a ballpark idea of how many people in each age group we have served.  We’re really not interested in knowing all of your personal information.
  • We don’t need to know how much money you make or what your expenses are.  Other agencies within our network might, but we don’t.  If you only visit our Food Pantry, you won’t be asked for further details.  We don’t collect information about ethnicity or gender either.  If you’d like to share it, that’s fine, but you’re not required to do so.

So how do you give us this information and get the help you need?

  • If you’ve already visited our pantry on Poplar Springs Road, we probably already have your information.  In fact, after speaking with you, we either scanned the barcode on your Driver’s License, or you may have received a barcode card with this image on it:
  • If you visited our former location on Walnut Street, but have not yet been to our Redwine location, we may only have some of your information.  If so, when you next come to the Pantry, prepare to take a few minutes filling out a form with the information described above.  We’ll get that entered into the system and give you a barcode card.  After that, just bring the barcode with you anytime you visit.  Check-in will be quick and easy.  The only time check-in willl take longer is if you’ve moved or if the members of your household have changed.  
  • Clients who have used the new system say it’s much quicker and easier than before!
